1. Label the record as a draft and state its intended internal use.
2. Check every amount, date, owner and deadline against the source.
3. Separate current information, old information, estimates and evidence actually inspected.
4. Carry contradictory figures and missing information into an explicit query list.
5. Distinguish questions, options discussed and recommendations actually made.
6. Do not infer recording or AI-processing permission from silence in the notes.
7. Have an accountable reviewer resolve or retain the open questions before downstream use.
8. Keep source, prompt, output and corrections together so the draft can be traced.

Record: source version, output version, reviewer, date, corrections, open questions, decision.
